Privacy policy
Last updated 4 November 2026
Indigo Cleaning Services (Pty) Ltd (“Indigo”, “we”) is the responsible party for the personal information described here. This policy explains what we collect, why, how we protect it and the rights you have under the Protection of Personal Information Act, 2013 (POPIA). By using this website, asking for a quote or booking a service, you confirm that you have read this policy.
1. What we collect
- Quote requests: your name, WhatsApp number, suburb and the service you want.
- Bookings: your street address, access instructions, details of the premises, and what you tell us about pets, alarms or special requests.
- Office clients: company name, registration and VAT numbers, contact persons and billing details.
- Payments: proof of payment and the bank reference. We never ask for or store your card details or banking passwords.
- Messages: the WhatsApp messages, emails and calls you send us, including photos you share.
- Quality and claim records: before-and-after photos of cleaned areas, and any report or photos about a complaint or claim. These photos never deliberately show people, documents or valuables.
- Website use: if you arrive from an online advert, a click reference from Google, so we can tell which adverts lead to quotes. We also record how visitors use the site with Microsoft Clarity: pages viewed, clicks, taps and scrolling, time on the site, the type of device and browser, and the approximate area you visit from (based on your internet connection). This does not identify you by name, and anything you type into our forms is hidden from these recordings.
We do not knowingly collect information from children, and we do not collect special personal information (such as health, religion or biometric data) unless you choose to tell us something for safety reasons, such as an allergy.
2. Why we use it, and on what basis
- To send your quote and to carry out, manage and invoice your booking: this is necessary to provide the service you asked for.
- To collect payment, keep accounting and tax records, and comply with the law.
- To protect our cleaners, clients and business, including handling complaints, claims, disputes and suspected fraud or theft: this is our legitimate interest.
- To measure which adverts work and improve our service.
- To send news or special offers, only if you have agreed to receive them. You can opt out at any time by replying “STOP”.
3. Information about other people
If you give us information about someone else, such as a tenant, family member, employee or landlord, you confirm that you are allowed to share it with us for the purpose of the booking, and that they know you have done so.
4. Who we share it with
- The cleaner assigned to your booking, who receives only what is needed for the job, such as your address and access instructions.
- Service providers that help us run the business, such as our website form provider, messaging, email, cloud storage and accounting tools, and Google for advert measurement. They act on our instructions and may not use your information for their own purposes.
- Our attorneys, auditors, insurers and debt collectors, where needed to protect our rights or recover amounts owed.
- The South African Police Service, courts, regulators or other authorities, where the law requires it or to report a crime.
We never sell, rent or trade your personal information. Some of our providers store data outside South Africa. We use only providers bound by laws or agreements that protect it to a standard POPIA accepts.
5. Cameras at your premises
If you have cameras that record inside the premises, you must tell us before the clean. Recordings of our cleaners are personal information: you may use them only for security and must not share or publish them, except with us or the police.
6. How long we keep it
- Quote requests that do not become a booking: deleted within 12 months.
- Access details such as alarm codes and key arrangements: deleted when the service ends.
- Client, invoice and payment records: kept for five years, as tax and company law require.
- Records of complaints, claims or disputes: kept until the matter is finally settled and any period to bring a claim has expired.
7. How we protect it
Your information is kept in password-protected accounts with two-step sign-in, opened only by people who need it. Our cleaners are bound to keep client information confidential. If we believe your personal information has been accessed without permission, we will tell you and the Information Regulator as soon as reasonably possible, as POPIA requires.
8. This website and cookies
- Visit recordings: we use Microsoft Clarity to see how visitors move through the site, with heatmaps and recordings of clicks, taps and scrolling, so we can make it easier to use. Clarity hides everything typed into forms. Microsoft processes this information under its own privacy statement, and it may be stored outside South Africa.
- Your choice: the first time you visit, we ask whether you accept cookies from Google and Microsoft Clarity. You can change your answer at any time with “Cookie settings” at the bottom of the home page. Your answer is saved in your browser so we don’t ask again.
- If you accept: Google may set cookies that tell us which of our adverts led to a quote request, and Clarity may set cookies that link your visits together. These are Google’s and Microsoft’s cookies, used under their own privacy policies.
- If you decline: no cookies are stored on your device. Google may still receive basic signals without cookies, such as that a quote request was sent, and Clarity may still record that visit without cookies, without identifying you.
- Always on: if you arrive from an advert, your browser keeps the advert click reference until you close the tab, so your quote request can be matched to that advert. It does not identify you by name.
We do not use cookies to show you adverts based on other websites you visit, and we do not sell this information.
9. Your rights
You may ask us to confirm what personal information we hold about you and to see it, to correct or delete it, or to stop using it for marketing. You may also object to other uses on reasonable grounds. We will reply within 30 days. We may need to confirm your identity first, and we may keep information that the law requires us to keep or that we need for a claim or dispute.
Requests for records may also be made under the Promotion of Access to Information Act, 2000.
10. Information Officer and complaints
Our Information Officer handles all privacy requests. To reach us, email info@indigocleaningservices.co.za or WhatsApp +27681766521.
If you are not satisfied with our response, you may complain to the Information Regulator at inforegulator.org.za.
11. Changes
We may update this policy. The latest version is always on this page, with the date it was last updated.
